Terms & Conditions.
Any booking made with Active Asia Viet Nam constitutes acceptance of our following terms and conditions. The terms and conditions are subject to change at any time, and it is your responsibility to check these terms and conditions regularly in case there are any changes. Continuing to use the site after a change has been made is your acceptance of those changes.
Responsibility All services are organized by Active Asia Viet Nam. Notice is hereby given that all arrangements made on behalf of clients on the sole condition that the organizers shall not be held responsible for any injury, death, accident, delay, loss, damage or irregularity. Active Asia Viet Nam acts as an agent for transport companies, hotels and other contractors and shall not be held liable for any injury, damage, loss, delay or irregularity that may occur, including, but not limited to, any defect in vehicle or any other form of transport conveying a traveler, acts of God, detention, delays or expenses arising from quarantine, strike, theft, civil disturbance, government restriction or regulation, accident by aircraft, boat, bicycle, motor vehicle or any other form of transport or in any hotel or guest house, pension, or other form of accommodation.
Deposit: A non-refundable deposit of US$100 per person is required in order to make your booking. Any domestic train and flight bookings within Asia included in your booking are NON-Refundable once confirmed. Full payment is due 30 days before your departure date. Rates subject to change until paid deposit.
Payment: Payment can be settled by the following methods:
1/ Payment by bank transfer: An email with detailed itinerary will be sent to your email included the bank information and you please pay the deposit amount within 24 hours from receiving our email.
2/ Payment in cash: If you are staying at Ho Chi Minh City, please come to our office to make the deposit within 24 hours from receiving our email (from 08am to 05pm on weekday – except Saturday and Sunday)
(Except for cash payments, bank charges may apply, and any bank charge must be borne by the customer.)
Cancellation by the Client Any cancellation must be made in writing. The date on which Active Asia Online receives the letter or email will determine the cancellation charges applicable. The cancellation charges below are a percentage of the total price, excluding insurance.
- Cancellation more than 30 days before departure: Loss of deposit, along with any domestic train and/or flight costs.
- Cancellation between 15-29 days before departure: 50% of total booking
- Cancellation between 7-14 days before departure: 75% of total booking.
- Less than 7 days before departure: 100% of total booking.
Insurance is strongly recommended. Please note that once purchased train and domestic airfares are non-refundable.
No refund for any unused travel arrangements after departure.
Amendments No amendment fees apply when the original booking is being added in value. For an initial amendment to a confirmed booking, no amendment fee will apply if the amendments are not close to the deadline for cancellation (see cancellation policy). When an amendment is made, the tour cost may change and the new price will apply.
Prices and Surcharges All prices are correct to the best of our knowledge. Events beyond our control may result in price increases;
Active Asia Viet Nam reserves the right to pass on these changes if necessary.
-Under 2 years old – Free of charge
– From 2 to 12 years old: 75% of adult tour price (sharing room with parents with an extra bed – Max 2 children per room)
– Above 12 years old: Adult prices.
Flexibility The client should appreciate and acknowledge that the nature of travel in Asia may sometimes require flexibility and should allow for alternatives. It is understood that the route, schedules, itineraries, amenities and mode of transport may be subject to alteration without prior notice, due to local circumstances or events, which may include sickness, mechanical breakdown, flight cancellations, strikes, and events emanating from political disputes, entry or border difficulties, climate and or other unpredictable or unforeseeable circumstances.
Changes: Active Asia Viet Nam reserves the right to change any of the facilities, services or prices described should it become necessary in the interests of safety or other unforeseen circumstances. Active Asia Viet Nam will provide services equal to or exceeding those advertised if at all possible.
Travel Documents The client must be in possession of a valid passport and all visas, permits and insurance. It is ultimately the responsibility of the client to ensure they have the necessary documentation.
Factors outside Active Asia Viet Nam’s control : Active Asia Viet Nam cannot accept any liability for matters outside its control such as political disputes, border closures, refusal of visas, industrial action, delayed flights or unforeseeable climatic changes.
Insurance The client is willing to accept full responsibility for insurance which must cover personal accident, medical expenses, loss of effects, repatriation costs and all other expenses which might arise as a result of loss, damage, injury, delay or inconvenience occurring to the client. It is strongly recommended that all clients have personal travel insurance.
Unused Services There will be no refunds for any unused services.
Claims and Complaints If a client has a complaint about any service or product supplied by Active Asia Viet Nam they must, if on a group tour, first inform their Guide whilst on the tour so that they can attempt to rectify the matter. Any other or further complaint must be put in writing to Active Asia Viet Nam within 30 days of the end of the tour. Any clients on Independent arrangements should firstly try to take the matter up with the hotel or supplier at the time of the problem. Failure to bring the problem to the attention of the local supplier may forfeit any possibility of a refund or resolve to the problem. Any concerns should be bought to the attention of Active Asia Viet Nam, in writing, within 30 days.
